Overview
EasyAthletics runs entirely inside Google Sheets. There is no software to install, no server to manage, and no database to configure. Everything lives in a Google Sheet that belongs to your school — your data never leaves your Google account.
Student self-submission
Each student gets a printed card with a unique QR code. Scanning it opens their personal profile — no login, no app download, works on any phone. They enter their own times and distances. Results go straight to your sheet instantly.
Live teacher dashboard
A password-protected dashboard shows every student, their submitted performances, IAAF points, auto-calculated grades, and ESAA talent flags — all updating in real time. Access it from any device, anywhere.
Automatic IAAF grading
Performances are scored using the official IAAF Combined Events coefficients (Spiriev 2017). Grades are awarded per-event and overall, calibrated to your school year group — not elite benchmarks. Every threshold is editable in the GradeBands sheet without touching any code.
ESAA talent identification
Any performance meeting an ESAA National or Entry standard is automatically flagged. Generate a pre-filled referral email directly from the talent panel — ready to send to county athletics in seconds.
School & year-group rankings
Students see their rank within their year group and within the whole school. Rankings update automatically after every submission. A top-10 school badge appears on a student's profile if they make the leaderboard.
Event leaderboards
Students can browse the top 10 school leaderboard and top 3 year-group leaderboard for every event — filtered by gender, updated in real time.
Score moderation
Edit any submitted value directly in the moderation table, verify and publish results, override grades, and export everything to Excel in one click.
Scoring methodology
Each event uses the Spiriev 2017 power-law formula, with gender-specific coefficients. Track events reward faster times; field events reward greater distances.
Track: pts = A × (B − time)ᶜ [where time < B]
Field: pts = A × (distance − B)ᶜ [where distance > B]
Example — Female 100m: A = 17.857 · B = 21.0s · C = 1.81
A girl running 15.0s → 17.857 × (21.0 − 15.0)^1.81 = 457 pts
The standard IAAF formula returns zero for any performance below its minimum threshold — for example, the female 100m scores zero for times slower than 21 seconds. In a school setting this is common: many younger or less experienced students run 22–25 seconds and would receive zero points for a genuine effort.
EasyAthletics extends the formula linearly below the threshold, mapping the range between a defined school-floor performance and the IAAF minimum onto a 1–50 point scale. Above the IAAF minimum, the standard formula applies exactly as published.
A student who runs 23 seconds is making a genuine athletic effort. Returning zero points is demotivating and statistically useless. The school extension ensures every participant receives a score and a grade that honestly reflects where they sit relative to their peers, while preserving the integrity of the IAAF scale for stronger performers.
Grading system
Grade thresholds are age-differentiated and calibrated for a typical school setting. A Yr 7 student and a Yr 11 student earn grades against different benchmarks. The thresholds are fully editable in the GradeBands sheet.
Thresholds were set knowing a typical non-specialist school averages around 71 IAAF points per event. A student at that average lands in C/D — honest, achievable, improvable. Teachers can adjust every threshold directly in the GradeBands sheet without touching any code.
User experience
The same web app serves two completely separate experiences. Students access their personal view via QR code — no login, no navigation to teacher data. Teachers access the dashboard via password gate. One deployment covers everything.

Copy the sheet
One click to make your own copy of the pre-built EasyAthletics Google Sheet.
Fill in three cells
Open the Setup Wizard tab. Add your school name, set your admin password, and paste your licence key. That is the only configuration required.
Paste your student list
Copy your existing student data into the Students sheet — name, year group, class, gender. The app generates unique QR codes for every student automatically.
Deploy and print
One-click deploy inside Google Apps Script. Print your student QR cards by class. Hand them out. Students can submit immediately from any phone.
Data & privacy
All student data is stored exclusively in your school's own Google Sheet, within your Google Workspace or personal Google account. EasyAthletics does not transmit student data to any external server, does not require an account with any third party, and does not collect analytics. The app runs entirely within Google's infrastructure under your own account.
Student QR cards contain only a unique numerical ID — no names, no personal information. The ID only resolves to student data when accessed through your own app deployment.

Real-world story
Timing a 100m and writing it down is the easy part. Working out what that time means — is it a Grade B? A County standard? Does this student deserve to be seen by someone in county athletics? — that's where EasyAthletics earns its place.
